Short summary
I respect your privacy. I collect only what I need to run this website, send emails you asked for, manage bookings, and provide care. I do not sell personal data. You stay in control of your information.

If you live in the UK or EU, you can complain to the Information Commissioner’s Office (ICO) if you are unhappy with how I handle your data.

The data I collect
On the website
- Information you send me, such as your name, email address and message when you get in touch or subscribe to my newsletter.
- Basic usage and security data that help me keep the site reliable and safe.

For bookings and care
- Booking details, for example your name, email, phone number and appointment information.
- Clinical records, such as health history, medications and relevant notes, used only to provide personalised care.
I do not receive or store full payment card numbers. If you pay online, my payment processor handles those details.
How I use your data and legal reasons
- To reply to enquiries and manage bookings. Legal reason: contract or steps to enter a contract, and legitimate interests.
- To send newsletters you asked for. Legal reason: consent. You can unsubscribe at any time.
- To run and protect the website, including security, troubleshooting and backups. Legal reason: legitimate interests.
- To provide professional care and keep required records. Legal reasons: provision of care, legal obligation and, where needed, your consent.
- Cookies and analytics run only with your consent where required. See the cookie policy to manage settings.
Cookies and analytics
I use Google Analytics to understand how the website is used. Non-essential cookies, including analytics, load only after you give consent through the cookie settings. You can change your choice at any time via the cookie policy page.
Who processes your data for me
- I use trusted services to run the website and deliver care:
- Website and hosting: WordPress on Ionos
- Email newsletters: Flodesk and Rasa.
- Online booking: Trafft.
- Security, backups and technical support tools where needed.
- These providers act on my instructions and only use your data to provide their service.
International transfers
Some providers may store or access data outside the UK or EEA. When that happens, I rely on approved safeguards such as the UK Addendum to the Standard Contractual Clauses or the provider’s equivalent lawful mechanism.
How long I keep data
- Enquiries: up to 24 months, then deleted unless we are still in contact.
- Newsletter: until you unsubscribe or your address becomes inactive for a similar period.
- Website logs and analytics: only as long as needed for security and performance, usually 14 months or less.
- Clinical records: adults 8 years from last contact. For people under 18, until the 26th birthday. For vulnerable adults, in line with professional guidance. Records are then securely destroyed unless the law requires longer.
Security
I use HTTPS, strong passwords, multi-factor authentication on key accounts, access controls, regular updates and vetted plugins. No system is perfect, yet I work to keep your data safe. If a serious breach occurs, I will notify the ICO and affected people when the law requires it.
Your rights under GDPR (UK/EU)
You can ask me to:
- access your data
- correct it
- delete it, under certain conditions
- limit or object to how it is used, under certain conditions
- provide a copy in a portable format, under certain conditions
Some of these services may incur a small fee. To exercise your rights, contact me here nikki@nikkihawkes.com. I aim to reply within one month.
Children
My website and services are not directed to children. I do not knowingly collect data from anyone under 16 via the website. If you believe a child has provided personal data, please contact me so I can delete it.
